“Perfectionism or lack of boundaries? Maybe we need parameters to make progress”

Have you ever felt like you put in lots of work but don’t see any progress towards your goals or projects getting finished?

For example, you spent hours working on XYZ this week and last week, but when you look back at your progress and the results for all this work…

You’re left wondering: “Why don’t I actually have results to show for all this work I’m doing…”

Which leads to feelings of:

  • Frustration

  • Busy-ness

  • Stress

  • Overwhelm

This is something that clients, friends, and family have shared with me just recently!

The feeling that they’re VERY busy all the time, working on small tasks and projects, and feeling like they don’t have enough time to get everything done.

Just this week I was talking to a 1:1 marketing client and they shared their frustration that they’re spending waaay too much time on small things that aren’t actually moving the needle forward in their marketing goals.

We talked about a few strategies on how to combat this feeling and how to clear the bottleneck with all the processes and projects they have in the pipeline. This client has ADHD and has been trying to find different productivity tools and systems to support them in their work that actually blend well with how their brain functions and processes information.

A few things we talked about were:

Measuring their time to see how many hours they’re spending on a task

This is something that they’ve done in the past but weren’t actively doing now. We talked about how measuring their time might help to give them an idea of how many hours they’re spending on big or small tasks, or even tasks that can be delegated.

🗒 A system that will tell them EXACTLY what they need to do every day

They want to start incorporating a project management tool that can help them manage all aspects of their business and track things for their personal life. Since they are nomadic, managing all the administrative tasks of moving, living abroad, and traveling was getting to be overwhelming, with tracking all the clients they support, alongside the professional mental health community they are working on launching. 

🗓 Organizing and time-blocking their calendar

After discussing a few ideas, we found that it wasn’t that they didn’t know ‘how much time’ they were spending on tasks or their immediate need was a project management tool…

It was actually that they didn’t have a clear system to their calendar and gave themselves TOO MUCH time to work on things. 

In my client’s words, “It’s not that I don’t know how much time I’m working on things, it’s that if I give my brain the option… I’ll spend too much time on things because I think there’s always something to be improved.”

Which… led to lots of bottlenecks, more pressure on them, and lack of progress on their goals for all the time they were putting in 😬

This got me thinking about how perfectionism creeps in when we’re working on our goals or trying to make a change in something.

Sometimes, perfectionism tells us that things “need to be perfect” before we put them out into the world. It also tells us that “there’s always something to do” because, of course, there’s always something to be improved…

My client said that she could ALWAYS be working on admin tasks in her business and life 😅 And I get it, because as an adult, I feel like the admin task list just keeps getting longer and longer (lol)

What we decided on to help combat her perfectionism and the time she spends going down rabbit holes Googling, fixing, updating, and tinkering with back-end things is:

  1. Time block her calendar & get even more detailed: We decided she would time block hours for client work, administrative work, marketing review, etc. And getting even more detailed, in the admin time block, she would assign certain tasks a time constraint. Once time ran out, whatever was done was done.

  2. Weekly check-ins for high priority tasks: She would check-in on Sundays or Mondays with her to-do list and decide on the highest priority tasks that would help move the needle forward on her goals. This means things that her team was waiting on, strategy pieces, and serving her clients. Everything else drops to the bottom and can get done after she’s crossed off the top priorities.

  3. Being ok with the idea of ‘done is better than perfect’: Instead of trying to get everything right the first time, we’re adopting the idea that done is better than perfect which can lead to better feedback from her team, more progress towards her goals, and actually getting her ideas out into the world instead of hanging onto them as too precious to ‘let go’.

So my question is, if you’ve been struggling with the same things as my client…

Is what is stopping you from progress on your goals perfectionism disguised as a lack of ‘boundaries’ on your own time?

Whew, when I wrote out this journaling prompt for the community,y I caught myself taking a sharp breath in 😬 I’ll be exploring this prompt in my own journal to figure out what mindset blocks are holding me back from moving forward (ie: getting that dang Spanish driver’s license!!).
